Summary
The Executive Assistant & Revenue Cycle Operations Coordinator provides high-level administrative support to the Chief Executive Officer while also supporting the Revenue Cycle Director through reporting, operational coordination, project tracking, and workflow management. This position serves as a key liaison between executive leadership and revenue cycle operations, ensuring efficient communication, timely reporting, accountability for action items, and successful execution of strategic initiatives.
The ideal candidate is highly organized, detail-oriented, analytical, and capable of managing multiple priorities in a fast-paced healthcare environment while maintaining confidentiality and professionalism.
Essential Duties and Responsibilities

Executive Leadership Support
• Provides high-level administrative support and assistance to the CEO and other assigned executive leadership staff.
• Performs clerical and administrative tasks including drafting correspondence, reports, presentations, memoranda, and other executive documents.
• Manages executive calendars, scheduling, and meeting coordination.
• Arranges travel, accommodations, and related logistics for executive leadership.
• Attends meetings on behalf of executives, records minutes, tracks action items, and ensures timely follow-up.
• Screens incoming communications and prioritizes items requiring executive attention.
• Maintains executive records, files, and confidential documentation.
• Assists with special projects and strategic initiatives as assigned by executive leadership.
• Completes and submits executive reports and supporting documentation in a timely manner.
Revenue Cycle Director Support
• Provides administrative and operational support to the Revenue Cycle Director.
• Assists with preparation, compilation, proofreading, and distribution of revenue cycle reports, scorecards, dashboards, and operational metrics.
• Tracks key performance indicators related to insurance verification, prior authorizations, intake workflow, claim submission readiness, billing operations, and reimbursement activities.
• Monitors departmental action items and follows up with stakeholders to ensure timely completion.
• Coordinates meetings, agendas, presentations, and documentation for Revenue Cycle leadership.
• Maintains organized records of revenue cycle initiatives, audits, projects, and operational improvement efforts.
• Assists in identifying workflow bottlenecks and supports process improvement initiatives.
• Retrieves information from operational systems, records, emails, and reports to support leadership decision-making.
• Collaborates with Billing, Insurance Verification, Intake, Referral Management, Data Entry, Nursing Operations, and other departments to ensure alignment and communication.
• Supports audit preparation, documentation management, and follow-up activities as assigned.
• Assists with tracking departmental goals, project timelines, and strategic initiatives.
Reporting & Operational Coordination
• Develops and maintains recurring operational reports and leadership summaries.
• Monitors completion of assigned projects and operational initiatives.
• Prepares meeting agendas, presentation materials, and executive summaries.
• Maintains training records, controlled documents, and departmental documentation as assigned.
• Conducts research and data gathering to support executive and operational leadership.
• Supports company-wide communication and coordination efforts.
• Maintains accurate records and documentation in accordance with company policies and compliance standards.
General Responsibilities
• Answers and directs incoming calls professionally.
• Maintains effective working relationships across all departments.
• Adheres to confidentiality, compliance, regulatory, and company policy requirements.
• Represents the company professionally at all times.
• Participates in meetings, trainings, conferences, and other company functions as assigned.
• Performs other duties and responsibilities as assigned.

Education and/or Experience
• High School Diploma or equivalent required.
• Associate's or Bachelor's degree preferred.
• Minimum 3 years of executive administrative support experience.
• Minimum 2 years of healthcare operations, revenue cycle, billing, insurance verification, quality operations, or related healthcare experience preferred.
• Knowledge of medical terminology and healthcare reimbursement processes preferred.
• Experience preparing reports, dashboards, and executive-level presentations preferred.
